StudyScan's Tech Support Site

TechScan is a page constructed with
the aim of providing technical and operational
support for the StudyScan Suite of Programmes.

It has been put together by Steve Renow,
the technical support member of the Pico Team.
(see StudyScan website 'The Pico Team').
It may not be too pretty, but let's hope it works for you!
You can print it out for easy reference or save it as a text or .htm file

Most known issues in Version 1.5 have been resolved in Version 2

To get the full benefit of QuickScan's audio keyboard help you should

contact Pico for a CD if you have not already received one.

Important Note

Before installing Version 1.5 please read the notes on setting student batch numbers as you will need to set them during installation.  If you find that this does not work for any reason, use the Set QuickScan Batchcodes utility on the System Menu in StatScan.  Even if you are only installing QuickScan, StatScan should also be installed for viewing and reprinting QuickScan Reports as well as general system management,

IMPORTANT: If your organisation has its own tech support team contact them before attempting any of the suggestions made on these pages. Your machine may be specially configured, or your network may differ in setup from a personal stand-alone machine. (And anyway, the last people we want to upset are your tech support team!)

We would be pleased to hear from your tech support team with their technical comments or requests for help, ( if there is anything Steve knows that they don't know ten times better!) particularly if there is any problem with these FAQ notes.

System Restorer to repair StudyScan System after reinstallation of Windows

How do I register the programme?

Before it can be run the programme needs to be set up using the

license utility which should have installed itself into the StudyScan

icon folder. (A red telephone icon.)

When you run this utility it will give you a code number to quote

to the registration service desk.  Do not close the registration utility

before you have entered the code you are given - it will reset itself

and expect a different response code the next time it is run!

Can I edit the QuickScan Report?

Quite easily - each time you save a report it can be found in the StudyScan 'db' folder and has the file extension .qrf (QuickScan Report File).

In Windows 95 open this file by dragging it onto your word processor icon and you can edit it to add or remove parts you prefer to express in other ways.

Making a link to the 'db' folder inside the StudyScan Desktop folder will make them easier to find. You can use the same technique.

In windows 3.x Associate .qrf files with your word processor and you should be able to launch any qrf file form the 'file manager' with a double click on the selected file. (To associate files in file manager click on a file of the qrf type go to 'File' (Alt+F) on the menu bar, select 'Associate' from the menu and find your word processor in the list dialogue box. If it is not there take the browse option and find its .exe file in its directory)

As this is a special text file with embedded instructions for the QuickScan internal printout these will need to be removed as you edit.

Save your new file and print it in the usual way.

Do I have to use the whole of the StudyScan Report?

No. You can radically reduce the destruction of the forests (!) by selecting and printing, in StatScan, only those pages one at a time that are directly relevant to the case you are working with. Typical pages might be the results page, the graph, the opening page which includes information drawn from QuickScan and if appropriate the dyslexia diagnostic page at the end of the dyslexia report.

The latest version of StatScan has a menu item to allow printing of a 'shortform' report of these pages.

The new RepScan utility enables StudyScan reports to be converted to and saved as HTML (Web) files.

Isn't there an easier way to print out the ProForma?

Version 2 installs the Proforma and creates a link to it to make it simple to launch

How do I make the programme run faster on a slower machine?

It is recommended that you install the picture files to the hard drive if you have sufficient space available (approx 6 mB) and run the larger sound files from the CD Rom.

You will need to select the option to install to hard drive and edit the Study.ini file to point to your CD Rom drive for sounds.  Change the existing line for 'AudioDir'  from:

AudioDir=C:\PROGRA~1\STUDYS~1\STUDYS~1\WAVS\

to:  AudioDir=D:\WAVS\

and in Quick.ini in the QuickScan folder change:

QAudioPath=C:\PROGRA~1\STUDYS~1\QUICKS~1\QWAVS\

to:  QAudioPath=D:\QWAVS\

(assuming your CD Rom is your D: drive - otherwise substitute your own machine's

CD Rom drive letter for D:)

You can then delete the WAVS folder in the   Program Files\StudyScan Suite\StudyScan   folder

and the QWavs folder in the   Program Files\StudyScan Suite\QuickScan   folder

(Default location given here)

What is the best way to set up QuickScan student numbers?

If you are not happy with the way they were set up during installation of the programme, batch numbers are most easily reconfigured using the StatScan System menu.  This utility can be used both to set up batch numbers and to enter local information.

We recommend the use of the first four digits for the establishment's UCAS code or a department code, as well as an identity number for the computer the programme is running on.

(For reference, the UCAS Website has a link to it on the StudyScan Website 'Info Links' page).

Letters are bigger than numbers and the second row - the end of available numbers - must clearly be bigger than the starting number. If you use letter based student codes, use a letter based end code.

E.g: aaaa is bigger than 9999 so you are better off using zzzz as the last digits.

There are one or two small technical problems which have mostly been ironed out in the latest release,

Ver.1.5c and 2. The following is a description of known items and reasons or workarounds as applicable .

Problem:
QuickScan error message: 'Batch Codes not set.'

Meaning:
QuickScan Batch codes for student numbers are not set or exhausted so QuickScan will not run.

Set the QuickScan Batch Codes from the system menu in StatScan.

-----------------------------------------------------------------------------------------------------------

Problem:
StudyScan will not run and gives an error message:
'Unable to run StudyScan at this time because audio is in use by another application or not available on this system.'

Solution:
Check to see if there is a sound card or, make sure audio is not in use by another application, or check to see that the sound card works for other applications, if not, there may be a problem with the sound card setup.

-----------------------------------------------------------------------------------------------------------

Fault: Titles not centred on printout on HP2200D printer

This problem can be rectified by installing the Win LJ 4+ Driver

-----------------------------------------------------------------------------------------------------------

Fault: QuickScan produces an error message ''Data has changed..." and cannot create its report

This error is caused by the Vbdb300.dll DLL file installed by Corel.  To rectify this problem

use the system restorer to replace the sytem files.  If Corel data functions are required place the

Vbdb300.dll into the Corel Application folder before restoring the StudyScan Suite System..

On networks, a local Client installation of Corel can also have the same effect.

-----------------------------------------------------------------------------------------------------------

Fault:  Multiple errors on startup.

If another program has been uninstalled or if Windows has been re-installed this process often deletes

system files.  This would have the effect of removing system files needed by The StudyScan Suite

Solution:  Use the StudyScan Suite System Restorer or

Network System Files installer to replace the missing files.

NETWORKING NOTES

A few pointers we hope will helpful for installations to networks.

The Autoinstaller autorun panel should appear in insertion of the CD.

If it does not, then run 'Start.exe' from the root of th CD to start it.

Buttons at the bottom of the Autoinstaller panel give access to the

full installation and operation manuals.  The installer files themselves

are in the Autorun folder on the CD:  If you will be installing from

a mirrored copy of the Cd on a server drive, ensure that the folder

structure is kept intact (e.g. copy the whole CD contents to a folder

on the server, and use Start.exe to access the installers as from the CD.

The Main Installation File is Setup21n.exe

The Network Upgrade File is Study20n.exe

The QuickScan with Audio Setup File is QSSnd20n.exe

The Network System  Files Installer is SSnetsys.exe - this is not needed for

new Version 2 installations.

SELECT OPTION TO RUN FROM HARD DRIVE

DURING INSTALLATION

In some cases the installers may not be able to access the server drive you are trying to install to from the CD.

If this happens, copy the relevant file(s) to the server drive you wish to use and run it from there.

The System folder can be copied across in the same way. There is a copy of SSnetsys.exe inside this folder, which can install the StudyScan Suite network system files.  The system files will be installed into each of the application folders.  This process is not needed for new Version 2 installations.

Ideally the installation should be made on the mapped drive the program will be run from so that

the installer will write the matching paths into the ini files - otherwise these may reflect the

drive letter of the Server Drive and not the mapped drive for the applications.

YOU WILL BE ASKED FOR BATCHCODES DURING INSTALLATION:

These are 8 characters long and include a means of identifying the network the

QuickScan programme was run from and a unique Student Identity Code.

For example "University College Anytown" might use UCA as its institution identifier "N" for the network then the remaining characters start at aaaa and run to zzzz - these are automatically incremented by the programme.

The Start batchcode on this basis would be UCANaaaa and the end batchcode would be UCANzzzz. If the programme is ever restored from a backup after a system failure it is vital that the start batchcode should be updated with a number higher than the last student code issued (i.e. the latest student I/D.mdb filename in the Db folder). The StatScan programme has a utility in its System Menu for resetting Batchcodes.

SHORT FILENAMES: 8.3 COMPLIANCE

The Network install options panel of the Autoinstaller utility, (which should autorun

- if it does not run 'Start.exe' from the root of the CD) will install to a default path of:

[Mapped Share as drive] :\Studyscn'

If you are running the upgrades to an existing Version 1.5 installation we reccommend,

as a precaution, the StudyScan Suite folder to Studyscn.

The "a" (if present) should be removed from the QuickScan and StudyScan application folders.

When you run Study20n.exe (the general upgrade) you will be asked to browse for the

main folder - \Studyscn this is the one formerly known as: StudyScan Suite in some earlier installations.

The installer should then be able to find the files it uses as a reference point. It will rewrite the various .ini files and update them with the paths it finds during its installation.

FILE ACCESS PERMISSIONS

THERE MUST BE A "TEMP" ENVIRONMENT FOR THE LOGGED-IN USER

The .ini files all need read/write access

The data folder "Db" under the Studyscan application folder needs read, write and file create (modify) access.

Windows 2000 networks also need share properties setting.

The WinNT\Temp folder needs modify rights - full control is not needed here - but the

QuickScan programme creates its temp files in the "Temp" environment specified on the client.

Once the system files are installed, any client machine only needs a shortcut to the appropriate application(s).

These are automatically installed in new Version 2 installations, so do not need to be added.

No system files are needed on client machines as they should have been put into each of the application folders.

The drive you have installed to will obviusly need to be mapped to the appropriate logins.

QuickScan (Quickscn.exe) is usually given the widest access.

The Student Support department should be asked to specify on

which machines they would like to run StudyScan (Studyscn.exe).

StatScan (Statscan.exe) is only for use by the administrating

tutor and is the programme that generates and reprints reports.

QuickScan with Audio's executable is Quicksnd.exe

PRINTING

The programme normally looks for an LPT port to print to NT Networks may need to print to LPT2networks do vary somewhat, and in one instance 'Execute' rights needed adding to the Shared folder to enable printing.

Novell Networks may need to spool to a print queue on an LPT port or it may be necessary to establish a bindery print queue. If this is the case, we recommend setting up a separate login for users of the programme, which captures the printing process on login and releases it when the user logs out, resetting to the default configuration for the client machine.

IP/IPX Printing to queues seems to work OK in Novell.

Another recent succesful approach uses the Novell ZEN Works setup to capture the local printer port

to LPT1 and redirect printing

Go into Network Neighbourhood

Find the appropriate printer queue and Right Click on it

Select the Novell Option 'Capture Printer Port' to LPT1

Disable Bi-Directional printing

NDPS printing will not work if the printer objects are very low in

the tree hierarchy (over 66 characters in the path/context).

Otherwise, it works fine if the printer objects are higher in the tree

Queue-based (legacy) printing does work, but this is all but phased out

now by Novell so may not be practical for anyone on an IP network.

IP-direct printing works, but there was no way to manage the

print queue, (so if somebody decided to print out a 5000 page document

there would be no way to stop it).

Finally, iPrint works fine, although it may have the same restriction as

NDPS in that it has to be quite high in the tree hierarchy.

(Special thanks to Lee Forster - Plymouth CFE IT Dept for

help researching iPrint and Novell printing issues).

REPSCAN FILE CONVERSION UTILITY

This program is designed to convert StudyScan and QuickScan reports to HTML for storage and printing. It should only be installed on the Tutor's client machine and care must be taken to ensure the security of the report files it generates.

UTILITY FOR RESTORING STAND-ALONE STUDYSCAN SUITE SYSTEM FILES

The File SSSystem.exe can be used to reinstate the Windows System files for The StudyScan Suite, where Windows has been re-installed on a stand-alone machine. This avoids the need to re-install the programme.

While we naturally wish you successful and trouble free operation of the StudyScan Suite, if you should come across any problems not listed here or if the solutions proposed do not work on your system, (especially those which are not solved by installing the latest version of the software), please do not hesitate to send details to this tech support e-mail address:

Many thanks!

How do I send collected data to The StudyScan team?

This is done using WinZip. Start WinZip, Click on the 'New' button, create a new 'Archive' which must be given a .zip extension E.g: filename.zip (where 'filename' contains preferably some form of identification of the establishment it is coming from.)

Check the 'Destination Directory' (or 'Folder') C:\Temp is the one most commonly used for files like this but you may have your own preferences, Make a careful note of what you call it so if it disappears (I lose them all the time) you can search for it with file manager or explorer.

Then click add, and look for the files you want to put in the zipfile archive in the dialogue box which appears (it should look a bit like the one in your word processor.) Find all the files in the StudyScan database with a .mdb file extension and select them all one by one with a double click. This should add them to the archive.

Include the study.mdb file you will find there too.

Then shut Winzip once you can see all the files listed that you want to send, and go to your e-mail.

Attach the zip from the 'Temp' Directory (Folder) to the covering e-mail and send it to Steve on e-mail:

renows@aol.com

or if you prefer send it to the StudyScan Team on e-mail:

The StudyScan Team

StudyScan@ZyWorld.com

They will all get to us quickly!

Alternatively, copy the Db folder to a CDWriteable and send that to us - Networked data

is probably a bit too large for a zipfile on e-mail!

Many thanks for your help, it really is very much appreciated.

Well that's about it for the time being. Let us know what you want to know by e-mail and we will do our best to give you a prompt answer!
